Club Volunteering (DIBS)

Burnsville Hockey Club is a non-profit organization that relies heavily on volunteers. BHC hosts a variety of fundraising events every year which may include tournaments, jamborees, recruitment events and community sales. Fundraisers are operated solely by volunteers and directly fund our hockey program. We appreciate the many hours contributed by our hockey families during the season. To make volunteer work more equitable for the entire association, the board has established a volunteer policy which includes families working in various duties at events associated with the club. Each family with a skater(s) in Mites, Squirts, U10, U12, U15, Peewees, Bantams and Jr Gold is required to fill eight (8) volunteer DIBS hours.  At least six (6) volunteer DIBS hours are to be completed at association sponsored tournaments (BHC Thanksgiving Classic and end of season tournaments). There is a family maximum of sixteen (16) DIBS hours. 

 

Volunteer Requirements

One Player = eight (8) DIBS Hours - (At least six (6) DIBS hours completed at association sponsored tournaments)

 

Two (or more) Players = sixteen (16) Volunteer DIBS Hours - (At least twelve (12) DIBS hours completed as association sponsored tournaments)

 

These are the minimum amount of hours we are asking of our members.

You, the BHC member, are responsible for ensuring coverage of your DIBS.  If the person covering the DIBS arrives under the influence of drugs or alcohol, does not know how to perform the task, or for any other reason are unable to complete the DIBS requirement they will be sent home at the discretion of the event supervisor and not be credited with the DIBS.  Additionally the DIBS which you have claimed but not provided completed coverage for will be assessed a $150 uncovered DIBS fee.

DIBS commitments run from April 1 to March 31 each year.  Families that do not fill their volunteer DIBS hour requirements by March 31 will be invoiced for the unfulfilled DIBS hours at a rate of $150 per unfilled DIB hour(s) on April 1. Families with incomplete hours or past due account balances will NOT be allowed to register or participate in any BHC related events or activities including summer camps, clinics, tryouts or use of the Training Center until the account is brought into good standing.

 

BHC has an online volunteer system called DIBS. You can use DIBS to view available hours, sign up (“claim”) and keep track of volunteer hours. DIBS can be accessed by clicking on the DIBS tab found on the BHC website home page. You need to be registered for the current season to access the DIBS Volunteer system. You MUST register in the DIBS system every year.  PLEASE NOTE: Registration for DIBS is a separate registration than BHC registration. More information on DIBS is available on the BHC website.

 

It is important to the club and the kids that all volunteer DIBS hours are filled and completed. Once a DIB has been claimed, no one else in the club is able to claim that DIB. You are able to remove yourself from a claimed DIB up to 48-hours before the scheduled start of the volunteer DIBS hour(s), but after that the dib is your responsibility.  If something comes up, you will need to find someone to cover your scheduled hours. If there is no one present during your claimed DIB session, your family will be invoiced $150.

 

BHC Members are welcome to hire a teen (age 12+) to fulfill  DIBS hours on their behalf.  All arrangements must be handled between the club member and the teen. BHC will not facilitate interactions between BHC members and hired teens including, but not limited to, conversations, transportation, or handling of payment.  BHC will work to maintain a list of teens interested in filling acceptable DIBS hours. NOTE:  Those under age 18 are not allowed to cover DIBS that are in the penalty box during tournaments.  (No one under 18 can do scoreboard, penalty box doors or scoresheet.  If they do music they will need a bluetooth and device to play music outside the penalty box.)

You, the BHC member, are responsible for covering your volunteer DIBS hours if the hired teen does not show-up for your DIB.  DIBS which you have claimed but not provided coverage for will be assessed the $150 uncovered DIBS fee.

 

Separated/Divorced/Blended Families: While BHC is very empathetic to your particular situation, we cannot keep track of which parent(s) have worked the various hours. The DIBS system and the player(s) account is connected to the parent that actually registered the player(s). It is the responsibility of the parent that registered the player(s) to make sure the volunteer hours and fundraising obligations are met. Please make those arrangements ahead of time between the player(s) parents prior to the start of the hockey season. Thank you in advance for your cooperation.

 

The following will not be considered volunteer opportunities: Taking team photos, collection of stats, planning team parties, providing snacks etc. IMPORTANT NOTE: Every family is required to complete DIBS regardless of other commitments made to the association. No family is exempt from completion of DIBS.   Volunteering as a team coach, manager, BHC Board Member or level director does not exempt you from your DIBS requirements.

 

DIBS Opportunities: General volunteer opportunities occur throughout the year. Details of pre-approved volunteer opportunities along with the allotted hour(s) of credit will be communicated to families by email, weekly newsletter and through the DIBS site as the opportunities arise. Families will sign up on DIBS to claim the hours(s). After DIBS items are completed please allow up to two weeks for the hours to be applied to your account. If the hours do not show up after this time period please contact the volunteers@burnsvillehockey.com email with questions.

 

After completing each DIB, it is the responsibility of the club member to confirm each completed DIB has been recorded with BHC within 30-days.  Discrepancies not addressed within 30-days of the DIB in question will be recorded as not completed, and may result in a $150 uncovered/incomplete DIBS fee.

 

Do not wait until the end of the registration year to complete your volunteer requirements.  There will be plenty of opportunities to complete DIBS throughout the year. Claiming that DIBS were not available will be representative of poor planning and time management by skater families rather than lack of opportunities posted by BHC.  Exceptions to the March 31 deadline for completing DIBS will not be made.

 

* Burnsville Hockey Club will pursue all attempts to collect any balance due to BHC including use of a collections service. Please do your part and work your required hours and avoid the awkward collections process.
